Interim HR Administration Assistant£22,000 (Contract)
London or Croydon
My client, a luxury French retailer is looking for an Interim HR Assistant, 6 month contract to be based either in London or the Croydon office, to accurately process HR administration in a timely manner, following agreed procedures, whilst contributing to the efficient service provided by the HR team, maintaining confidentiality and a high level of customer service and care at all times. To provide administrative support to HR Management.
RESPONSIBILITIES
- Recruitment Conduct 1st stage interviews for junior positions including conducting and organising assessment days.
- Administration of Starters and Leavers, including offer letters, all contractual documentation and written payroll instructions within expected time frames. Ensuring payroll deadlines are met. Maintain Pending List.
- System/Payroll input for all staff
- Stationery orders for the department
- Ensure the timely opening, date stamping and distribution of the HR Department's post.
- Administration of contractual changes.
- Administration of changes to personal details.
- Organisation and administration of work placements, secondments and work experience students.
- Obtain and provide standard Company references within relevant time frames.
- Input Holiday Forms onto the HR system (ADP) and produce and distribute regular holiday reports to management. Check holiday forms against Attendance Sheets for Boutique staff.
- HR Department Reporting issue reminders to the team to complete the Movement Log and Progress Reports at the appropriate time.
- Regular maintenance of Organisation Charts, issuing as appropriate.
- Administration of Maternity/Paternity/Parental leave, including flexible working requests, within required time frames and maintaining accurate records. Ordering of gifts for new parents.
- Process employee Company loans, Season Ticket loans and Ambassador Watch loans to set procedures.
- Assist with Disciplinary/Grievance meetings, sending invitation letters and taking accurate, comprehensive notes at the meetings at various locations as required.
- Administration of sickness absence including sickness triggers, letters of concern and quarterly/annual sickness reports
- Administration of childcare vouchers
- Arrange reimbursements for eye tests/glasses.
- Order flowers/gifts as appropriate for staff as required.
- Provide administrative support to HR Management.
- Assist with various projects, including the on-going maintenance of the Procedures Manual.
- Filing/archiving.
- Covering for the other HR administrators as required.
