Role: Japanese Speaking Team AssistantSalary: 20-22KStatus: Permanent/ Full-time Location: Uxbridge area MiddlesexHours: 9am - 5pm (1 hour lunch) flexibility is required for busy periods Do you have a future interest in office management, events or HR, if so then this role is perfect for you! You will report to the Manager - HR & Admin and your key relationships would be with maintenance and service suppliers, hotel account/sales managers, training facilitators, catering suppliers, the companies subsidiaries in UK & EMEA and the accounting department. Key Objectives: . To provide administrative support to the HR and Administration Functions . To ensure the smooth running of the office. . To manage office facilities/maintenance. . To organise and support office events and activities. Key responsibilities and tasks: . Receptionist Duties o Answer the telephone and direct enquiries as appropriate o Welcome visitors and make tea & coffee o Receive deliveries, distribute post, frank and send outgoing mail o Book courier collections and taxis Office & Facilities Duties . Order stationery and other consumables . Deal with suppliers . Stock check and ensure supplies are kept up-to-date . Monitor office equipment and facilities . Communicate with the building management as required (reporting maintenance issues, attending tenants' meetings, etc) . Help to manage office fire safety / health and safety IT Duties . Coordinate the purchase and set up of PCs for new starters . Liaise with IT support colleagues and arrange site visits as required . Keep IT equipment asset lists and other IT records updated Events Management Duties . Support on-site meetings and training events (including setting up lunch and coffee stations, preparing meeting rooms, making coach and taxi bookings, preparing printing, dealing with participant enquiries) . Assisting other subsidiaries with booking meeting rooms . Liaising with hotels, restaurants and other partners . Support occasional off-site events (dispatching invitations, helping to prepare guest lists, seating plans and ticket allocations) Data Entry Duties . Data entry and database management for various projects . Communication with other business units to collect data . Coordinate the collection, input and submission of data and reports Other Duties . General administration as required (filing, photocopying, etc) . Occasional off-site errands (e.g. submitting visa applications at embassies) . Occasional cover of PA duties when the Executive Assistant is away (arranging lunch and refreshments for the CEO, transferring calls, making photocopies) . Make occasional travel bookings . Support HR Team with new starters and leavers procedures . Support other members of the HR and Administration Team . Other duties as may be reasonably required . Responsible for hotel corporate rate renewals and informing the companies subsidiaries of the agreements in place with local hotels; updating the corporate rate document as and when required. Required skills and experience: . Good general education, ideally to A level standard . Office experience . Good PC skills (Word, Excel, Powerpoint, Outlook) . Good telephone manner . Typing skills for data-inputting . Excellent communication and interpersonal skills . Excellent level of English . Strong organisation skills . Strong numeracy skills .
