The Role
The main function of the role will be to provide administrative support to the Resourcing centre throughout each stage of the recruitment process.
The successful candidate will gain experience of recruitment campaigns and sourcing methods, will have exposure to advertising in the media and on the internet, and learn about competency based telephone interviewing and various assessment methods. Full training will also be provided in the use of the ResourceBank database
• Log new vacancies onto the ResourceBank database and acknowledge receipt.
• Create Job Briefs (such as this one) for all assigned vacancies, and advertise on external recruitment sites, the Kimberly-Clark Intranet, and gather information for press advertising as appropriate.
• Carry out database search to identify appropriate candidates for consideration for the job roles.
• Where appropriate, liaise with advertising suppliers to book appropriate advertising or contact recruitment agency partners to brief on vacancies.
• Data entry - input candidates details onto the database.
• Be the first point of contact for candidates under consideration for roles at Kimberly-Clark.
• Contact candidates and arrange telephone interviews, face to face interviews and assessments for the KCRC Project Managers and confirm in writing.
• Liaise with HR Managers and appropriate Line Managers within Kimberly-Clark to send short listed candidates details, and to arrange interviews/assessments. Confirm with necessary paperwork.
• Liaise with HR Managers and appropriate Line Managers to receive feedback on candidates.
• On receipt of written confirmation, compile written offer and send out to successful candidate within 24 hours.
• Send all returned offer paperwork to Kimberly-Clark HR Administrators.
• Confirm new starters and process paperwork to Kimberly-Clark HR Administrators.
• Assist with weekly, monthly, assignment, reference, financial and any other reporting as required.
• Assist Account Manager with any other activities as reasonably required, which could include but not exhaustive: minute taking, compiling agendas, drafting and sending letters, diary management, ordering stationery, travel arrangements etc.
• Monitor and record candidate and project manager expenses.
Candidate Profile
Education:
A good general level of education is essential.
Secretarial/Administration qualifications are ideal, although not essential.
Personal Experience:
• Demonstrates a customer focused approach, having worked in an environment where customer service is key.
• Practical, hands-on experience of working in an administrative role with individual responsibility for tasks or projects and experience of working on multiple tasks.
• Evidence of strong administrative and secretarial skills using Microsoft Office, ideally demonstrating advanced Word and intermediate Excel skills.
• Previous experience of data entry and working with databases is essential.
• Experience of recruitment administration is ideal.
